EXAMPLE OF LETTERS



Letters of Inquiry

A letter of inquiry asks someone for specific information. In some cases, such as a request for promotional material, the recipient will have a clear interest in responding to your letter. In other cases, such as a request for specific information on a product, the recipient may or may not be as motivated to respond quickly. Consequently, always make the tone of the letter friendly and make it easy for the recipient to identify and provide the information you need.
Follow this format in writing a letter of inquiry :

  1. In the first paragraph, identify yourself and, if appropriate, your position, and your institution or firm.
  2. In the second paragraph, briefly explain why you are writing and how you will use the requested information. Offer to keep the response confidential if such an offer seems reasonable.
  3. List the specific information you need. You can phrase your requests as questions or as a list of specific items of information. In either case, make each item clear and discrete.
  4. Conclude your letter by offering your reader some incentive for responding.

The following letter of inquiry is written by a computer programmer requesting specific information about an upcoming release of a software product.

Order Letter

Order letter / Placing order is a document or letter that confirms the details of a purchase of goods or services from one party to another. Example when we will buy some product in a company, we must send order letter for request that product and when the recipient in that company receives this letter, they will process the order and send the product.
An Order Letter is the one that is written by the person/company placing the request of purchase from another company. This letter comes into action only when a detailed study of the desired product has been done in the market and based on promised service, quality and price of the product, a decision for a purchase has been made.

An Order Letter should be drafted very carefully as it needs to pen down all the terms and conditions of the purchase for the benefit of both involved parties.

Complain Letter

When you are trying to resolve a complaint against a company, the first step should always be to discuss your concerns with a representative of the business.  Try to speak with the manager or owner, and follow up by sending a certified letter confirming all the details of your conversation.  Request a return postal receipt so that you will have proof of the letter’s delivery; and keep records of all communications between yourself and the business, including phone calls, letters, faxes or e-mails.

Application Letter

Business English
Business English is, quite simply, English geared towards the conduct of business and international trade. It is generally taught to non-native English speakers who want to do business with English-speakers, and is thus a purely functional category of English aimed at preparing learners for effective communication. On the other hand, it can also be learned by native English speakers who are more habituated to casual use of the language and are not sure of their footing when it comes to formal, office-environment talk.
The focus in Business English is on the language and skills required for regular business communication: the vocabulary of trade and finance, presentations, negotiations, meetings, everyday conversation, networking, correspondence, report writing etc. The strict rules of grammar are sometimes ignored or sidestepped for these purposes.

Different types of formal letters

There are different types of formal letters.
Basically, they all have the same layout styles, salutation and endings. However, the information that you include in these letters differ. Here is a closer look at different types of business letters.

Inquiry letters

These letters are used to request more information about a product or service. You must clearly explain what information you are seeking. You may also ask for further details in the form of catalogs, brochures etc.

Sales Letters

Sales letters are used to promote new products and services. A sales letter must clearly state the advantages of using the specific product you are trying to promote. Ideally, a sales letter must highlight an important problem and then explain how that problem can be solved by using your product. All sales letters must include a ‘call to action’.

Acceptance letter

An acceptance letter is one that is written when you want to accept a job, a gift, an invitation, an honor, a resignation etc. You may have verbally accepted the job or gift. Still it is a smart idea to formally accept the offer with an acceptance letter.

Replying to an Inquiry

This is the kind of letter that you may have to write very often. Customers who make inquiries about your products or services are definitely interested in buying them. When you reply to these inquiries you have to provide as much information as possible. Your reply should prompt the client to take the desired action – it could be subscribing to a service you provide or purchasing a product you offer.

Making a Claim

We are not always satisfied with the quality of a product or service we purchase. In that case, we will need to make a claim against unsatisfactory work. A claim letter must clearly express your dissatisfaction. It must also state what action you expect the service provider to take.

Adjusting a Claim

Your company may be offering the best products and services. Nonetheless, from time to time you may be called upon to adjust a claim. This type of letters must address the specific concerns of dissatisfied customers.

Apology letters

Business apology letters should be typed on a computer. Use a serif font, such as Times Roman. Once you have typed the letter, print it on good quality, white paper.

Cover Letters

A cover letter is one that is sent along with your CV when you are applying for a job. The purpose of a cover letter is to elicit a positive response from your prospective employers by highlighting the plus points in your resume.

Parts of a letter

The following are the parts of a business letter listed in the proper sequential order.

Letterhead - Stationary printed at the top of the page including the company name, logo, full address, and other elements such as trademark symbols, phone & fax numbers, and an e-mail.
Dateline - The date is the month (spelled out), day, and year. If you are using Microsoft Word, click - Insert, then Time and Date. Press Enter four times after the date.

Name and title of writer - Type the first and last name of the sender. The sender's personal title (Mr., Ms., Dr., etc) should be included. TAK PERLU MENJADI SPIDERMAN UNTUK MENJADI PAHLAWAN

Nghhhhhff... Desahan nafasku saat ditanya apa cita-citaku.? Entah harus ku jawab apa lagi? Terkadang pertanyaan tersebut hanya ku balas dengan senyuman atau terkadang ku tanya balik cita-cita orang tersebut agar dapat mengalihkan pertanyaannya.  Dengan begitu kemungkinan besar  orang yang bertanya akan lupa karena asik menceritakan akan menjadi apa mereka di masa depan nanti.  Lumayan efektif juga cara yang kupakai ini. Seandainya mereka menanyakan lagi apa cita-citaku, tetap ku balas dengan senyuman. Tapi jika mereka tetap memaksa itulah tiba saatnya aku menjawab. CITA-CITAKU ADALAH.....  sengaja kupotong kalimatku agar membuat kesan yang dramatis sekaligus membuat yang mendengarkan penasaran.  Apa? Serentak tanya mereka dengan nada bicara tidak sabar. Entah itu rasa penasaran atau rasa kesal karena gaya yang ku lakukan seolah tampak seperti film sinetron yang ingin bersambung dan dilanjutkan dua tahun yang akan datang. Tak ingin membuat penggemar kecewa, kuputuskan untuk melanjutkan kalimat yang terputus tadi. CITA-CITAKU ADALAH MENJADI SPIDERMAN. Suasana yang ramai gaduh berubah sepi sejenak, bahkan jangkrik pun terdiam saat aku memberitahu cita-citaku.  Tak lama kemudian suasana sepi tersebut berubah menjadi ramai gaduh lagi diisi dengan tawa mereka yang lepas. Mereka pikir aku bercanda. Jika kalian para pembaca berpikir seperti itu juga lebih baik ku sudahi ceritaku cukup sampai disini. Tidak, aku hanya bercanda. Penulis akan tetap kulanjutkan diparagraf berikutnya. Harap disimak baik-baik dan menikmati.
Namaku Fadlilah santoso, mereka biasa memanggilku fadil. Mereka berkata kepadaku sangat mustahil menjadi Spiderman di dunia nyata seperti ini, sebab kalian pun tahu itu hanya terjadi di film. Orang yang tergigit laba-laba lalu mempunyai kekuatan super dan bisa mengeluarkan jaring untuk berayun kesana-kesini untuk menolong orang  di antara gedung tinggi pencakar langit serta bisa menempel  ditembok. Itu adalah hal yang sangat luar biasa namun mustahil. Bahkan sebagian dari mereka menganggapku sangat konyol. Ya, wajar juga kalau mereka menganggapku seperti itu, secara  umurku saja sudah 21 tahun. Sudah tak pantas lagi punya cita-cita kekanak-kanakan seperti itu. Tapi, pernahkah kalian tahu? Beratus-ratus tahun lalu banyak orang yang tidak percaya bahwa terbang di udara adalah hal yang mustahil. Namun sekarang dibuktikan dengan adanya pesawat orang dapat terbang diudara. Ratusan tahun lalu, banyak pula yang tidak percaya bahwa atmosfer dapat di tembus dan bulan dapat dijajaki. Sekarang terbukti  dengan adanya apolo atau pesawat luar angkasa bulan dapat disinggahi, dan kita tahu betapa luasnya alam semesta ciptaan Allah SWT ini. Hal yang mustahil pun bisa terjadi di dunia in. Itu semua membuat saya sadar akan suatu hal bahwa cita-cita yang saya miliki lebih mustahil dari pada terbang di udara maupun berjalan dibulan. Sungguh kenyataan yang ironi. Kreeeekktaak....(suara hati penulis yang patah).
Namun itu semua tidak membuat saya berhenti berjuang menjalani hidup. Ada beberapa kata-kata motivasi dalam hidup saya. Itu semua saya dapat pada saat saya sekolah. Dimulai dari guru TK, beliau bernama Ibu Tuti, dan Ibu Ana, ibu Ana berpesan agar aku jadi anak yang sholeh dan Ibu Tuti berpesan agar aku tidak cengeng lagi. Mereka mengajar di TK AL-Kashaf tempatku sekolah TK dulu. Kemudian Guru di masa SD memberi pesan kepada ku agar aku menjadi anak yang mandiri, aku memanggilnya Ibu zubaedah. Beliau mengajar di SDN Jatimulya tempatku mengenyam masa pendidikan SD dahulu. Guruku di masa SMP berkata kepadaku dan teman-teman sekelas,  “jadliah orang yang baik dan berbuat kebenaran di dunia selama kau hidup, maka kesuksesan akan selalu menyertaimu”. Aku memanggilnya Ibu Kasyati. Beliau mempunyi cita-cita yang sangat mulia, yaitu menjadi orang yang baik. Beliau mengajar Bahasa Inggris di SMPN 2 Tambun Selatan tempat sekolahku. Dan ada juga Guruku di masa SMA yang menjadi inspirasiku hingga saat ini, beliau berkata kepadaku dan teman-teman sekelas,” jadikan suasana indah dengan hadirnya dirimu, agar mereka tersenyum bahagia berada di dekatmu”. Pak Nauval aku memanggilnya, beliau juga punya cita-cita yang sangat mulia yaitu membuat orang tersenyum bahagia jika di dekatnya. Beliau menjadi Guru Rohani Islam di SMA Pusaka Nusantara 2 Bekasi tempatku sekolah.  Itulah yang membuatku tetap semangat menjalani hidup hingga saat ini. Sekarang aku sudah berada di masa kuliah.
Aku dilahirkan dengan banyak bakat, namun hanya beberapa yang sangat kusukaidan ku kuasai, yaitu bermain catur. Bisa dibilang bermain catur adalah hobiku.  Ayahku yang mewarisi kelebihan tersebut.  Aku tinggal dengan keluarga kecil yang bahagia bersama Ayahanda dan Ibunda. Mereka sangat menyayangiku, aku sangat tahu itu karena aku dapat merasakan kasih sayangnya yang sangat luar biasa. Kami tinggal dengan hidup sederhana dan berkecukupan. Dan yang lebih penting kami mensyukuri apa yang diberikan Allah SWT untuk kami.  Aku punya saudara perempuan, meskipun sikapnya agak sensitive dan pendiam namun dia punya rasa patrotisme yang sangat besar untuk membela keluarga kami.
Selain Guru-Guruku peran kedua orang tuaku sangat menginspirasi dan memotivasi hidup disetiap nafasku. Mereka mengajarkan tanggung jawab atas segala yang aku lakukan dan rasa bersyukur atas apa yang aku miliki. Mereka yang membimbingku agar selalu tetap berada dijalan yang benar. Mereka yang selalu ada kapanpun untukku. Ayahku mengajarkan ku agar tetap berani berkata jujur, orang yang berkata jujur akan memperoleh keberhasilan dan tidak akan gagal. Contoh, orang jahatpun butuh orang yang jujur untuk menjaga hartanya. Oleh sebab itu beranilah berkata jujur walau itu menyakitkan. Ibuku mengajarkan kesabaran kepadaku dalam menghadapi masalah.  Bersabarlah dan berdoa, karena sebesar-besarnya masalah lebih besar Allah SWT. Atas izin-Nya masalahpun akan mudah diselesaikan.
Peran kedua orangtua dan guru-guruku menyimpulkan sebuah bekal hidup. Untuk menjalani hidup sebagai seorang pahawan, harus mempunyai jiwa yang tegar dan tidak boleh cengeng, harus bersikap mandiri, menjadi orang yang baik dan selalu berbuat kebenaran, berguna untuk semua orang, berkata jujur, dan sabar. Itu semua membuatku sadar akan satu hal bahwa “TAK PERLU MENJADI SPIDERMAN UNTUK MENJADI PAHLAWAN”. Itulah semboyan hidupku yang hingga kini masih ku terapkan untuk tetap bertahan hidup meskipun bukan sebagai seorang spiderman.
Dalam hidupku selama 20 tahun, pertama kalinya aku menaruh perasaan pada seorang perempuan pada masa sekolah SMA. Bisa dibilang masa SMA adalah masa yang indah. Meskipun banyak masa yang indah lainnya. Namun masa SMA ini terasa spesial karena aku baru pertama kalinya berpacaran. Semenjak TK, SD, dan SMP aku belum begitu mengerti apa itu pacaran. Dari masa TK sampai dengan SMP, aku masih disibukan dengan bermain kelereng, layang-layang, film kartun, petak umpet dan permainan seru lainnya yang sehingga membuat aku tidak berminat untuk pacaran. Seiring perubahan waktu hal-hal seperti itu terasa jenuh. Sampai akhirnya tiba aku di masa SMA dimana aku beranjak puber  hingga akhirnya bertemu dengan sesosok bidadari.  Bidadari tersebut biasa melengkapi kekosongan yang ada di diriku walaupun diantara kami banyak perbedaan. Namun kami saling menghargai keputusan kami untuk tetap saling menyayangi.  Cerita indah ini mungkin yang menjadi penutup cerita ini. Singkat memang, karena aku masih terobsesi sebagai spiderman sebagian identitas diriku masih harus tetap dirahasiakan.
